Responsibilities:

· Manages close out duties for the conference department including preparing meetings for close out, maintaining tracking logs, updating systems with vendor information, working conference and accounting staff to resolve discrepancies, following up with vendors and participants as needed, conducting periodic audits of files, responding to inquiries, performing close outs, and training support staff to assist with close out related duties.

· Researches and recommends vendors.

· Creates vendor spec sheets.

· Reviews inventory of all materials in stock to ensure correct quantities are available based upon conference needs.

· Researches availability and types of items, reviews pricing, quality, service and places orders for direct client items including supplies and materials.

· Reviews and confirms accuracy of vendor invoices for services and materials used for conferences.

· Provides on-site conference related support as required.

· Reviews and updates reimbursement request database for participants; provides updates as appropriate; assists in the research of participant discrepancies.

· Drafts and sends correspondence to program participants as appropriate.

· Manages travel related tasks or other special client services as needed.

· Manages supply orders for conference department.

· Performs other duties as assigned.

· Works directly with the Meeting Planner.

 

Qualifications:

· College degree and three or more years of supply, inventory management/coordination or administrative experience required in a customer service related industry

· Excellent editing and written correspondence skill

· Strong customer service and interpersonal skills

· The ability to multitask and to balance multiple projects at once with frequent interruptions

· Excellent oral communication skills with the ability to interact with individuals professionally

· Strong attention to detail

· Must be adaptable and flexible in an environment with changing priorities and requirements

· The ability to work independently on assigned tasks as well as to accept direction on given assignments.

· The ability to maintain a professional image and be composed at all times

· The ability to communicate and work with staff at all levels of the organization

· Proficient knowledge of the Microsoft Office Software Suite including Microsoft Word, Excel and Outlook

· The ability to work in a fast paced and high volume environment
